Position Summary

The Accounting/Contracts Associate is part of a nine-person accounting team and also supports a two-person contracts team. Primary duties include: performs cash receipt functions for a variety of revenue sources, administrative and vendor/customer support for organization’s contracts and supports accounts payable function. Other duties include maintenance of accounting files and support for administrative needs of accounting and contracts.

Responsibilities

  • Cash Receipts
    • Determines proper coding and writes-up transaction batches for multiple revenue streams including auto-deposits, website/MHFA portal (authorize.net) and LMS orders
    • Enters cash receipts into accounting system
    • Provides accounts receivable collections effort as required on outstanding invoices
    • Responds to customer service requests to ensure rapid response
  • Contracts department duties
    • Supports the needs of the department through the provision of contracts and administrative support for various projects
    • Prepares administrative documents required by contractual agreements
    • Communicates with external and external customers
    • Acts as liaison with accounting department to answer questions and provide support
    • Manages state /county registrations to ensure compliance
    • Responds to customer service requests to ensure rapid response
  • Supports the Accounts Payable Function
    • Follows up on vendor statements to ensure that no issues exist
    • Follows up with vendors to ensure that W-9 and any other required documents are captured
    • Helps maintain files of vouchers and supporting documentation including scanning documents into electronic imaging system
    • Responds to customer service requests to ensure rapid response
  • Other Duties
    • Helps maintain accounting and contracts files
    • Handles requests for information for both accounting and contracts
    • Other administrative duties as assigned

Required Qualifications

  • A Bachelor’s degree in accounting is preferred
  • A minimum of one to three years of experience in a business environment is preferred

Knowledge Skills and Abilities

  • Experience using project accounting software is preferred
  • Experience using Microsoft Office especially Excel is required
  • Strong organizational skills
  • Outstanding attention to detail and proofing ability
  • Good interpersonal skills and the ability to work in a team environment
